Save specific calendar views

With saved views in the ChurchDesk calendar, you can save frequently used combinations of calendars, categories and parishes under a name of your choice. Instead of ticking the same boxes every time, you can switch between your views with a single click. This saves time and keeps things clear, especially when you have access to a large number of calendars.

Benefits of saved views

  • Switch between different selections in the calendar with one click.
  • Keep an overview, even with a large number of calendars and categories.
  • Return to your previous selection at any time.
  • Use your views in the worship overview under "Reports" as well.

Availability

Saved views are available to all customers using the ChurchDesk calendar.

Content

Rights and roles

  • All users with access to the calendar: Can save, select, edit and delete their own views.
  • Personal views: Saved views are only visible to the person who created them. Other users cannot see your views.
  • Multi-parish: A view can include calendars from several parishes. You can see how many parishes a view covers directly in the list of your views.

Save a new view

A view saves your current selection in the left-hand sidebar of the calendar.

  1. In the sidebar, select the calendars, categories and parishes you want to see together.
  2. Click the selection field "No view" at the very bottom of the sidebar. The "Saved views" window opens.
  3. Click "Save current selection as view".
  4. Enter a name for the view.
  5. Click "Save".

The new view is active straight away. Its name appears in the selection field at the bottom of the sidebar.

EXAMPLE: A vicar saves the view "Services" with all service categories of their two parishes, and the view "Meetings" with the PCC meetings.

Select and switch views

  1. Click the selection field at the bottom of the sidebar.
  2. Choose the view you want from the list.

The calendar immediately shows only the events in the selected view.

How to recognise the active view

  • The name of the active view is shown in the selection field at the bottom of the sidebar.
  • Next to it, a number shows how many calendars are selected out of all the calendars available to you (e.g. 3/691).
  • In the list, each view shows how many calendars and parishes it contains.
  • The active view stays selected when you reload the page.

Return to your previous selection

  • Click the active view in the list again to deselect it. The calendar returns to your previous selection.
  • Click "Show all calendars" to clear the view and display all calendars.

Edit, rename and delete views

Save changes to a view

If you tick or untick calendars while a view is active, the view is marked as changed: an asterisk (*) and an orange dot appear in the selection field.

  1. Open the selection field. The message "Selection changed" appears at the top.
  2. Choose one of the options:
    • "Save to '[view name]'" overwrites the existing view with your new selection.
    • "Save as new view" creates an additional view. The original view stays unchanged.
    • "Reset" discards your changes and restores the saved view.

TIP: A view never changes automatically. As long as you don't save, the saved selection is kept.

Rename a view

  1. Open the "Saved views" window.
  2. Click the pencil icon next to the view.
  3. Enter the new name and confirm with the tick.

Delete a view

  1. Open the "Saved views" window.
  2. Click the bin icon next to the view.

INFORMATION: Deleting a view only removes the saved selection. Calendars, categories and events stay unchanged.

Use views in the worship overview

Your saved views are also available in the worship overview, so you don't have to select categories and locations one by one each time.

  1. Go to "Reports" > "Worship overview".
  2. Set the date range.
  3. In the selection field next to "All categories", choose the view you want.
  4. Click "Get result" to update the list.
  5. Use "Print worship overview" to get the result as a Word file (.docx), which you can edit further.

TIP: You can either use a saved view or select categories and locations individually, whichever is quicker for your overview.

NOTE: Saved views are currently only available in the worship overview, not in the search or in other reports.
