Gift Aid

When creating a donation project in ChurchDesk, you can choose if it should allow gift aid for this project. If you don't want to allow gift aid, then remove the tick when creating the donation project. It is not possible to enable or disable gift aid after a donation project has received a donation.

ChurchDesk does not generate a visual gift aid declaration. However, when someone's adding Gift Aid to their one-off donation the necessary records of a Gift Aid declaration is collected and stored in our database:

a confirmation that the contributor agrees to Gift Aid being claimed
a confirmation that the contributor has paid the same amount or more in Income Tax or Capital Gains Tax in that tax year
name of your charity
donor’s full name
donor’s home address (at least their house number or name and postcode)
date of donation

Therefore, when the system shows that someone has added Gift Aid to their one-off donation a declaration does exist in our database. When it comes to claiming the Gift Aid at HMRC the necessary Gift Aid information is included in the ODS-file that you can export from ChurchDesk.

Export gift aid

To export gift aid go to the Payment & Contributions module in ChurchDesk. Open the donation project by clicking on the title. Now click on "Export" and choose the date range you want to export for. When you have done this a ODS-file is downloaded to your computer.

The gift aid file you download from ChurchDesk is a custom made file that is automatically pre-filled out with the needed information about the doner.

Excel doesn't support these automations in the file. This is why the file can only be opened in an open office software like LibreOffice.
