Hidden form responses
From now on, you can restrict hidden form responses in ChurchDesk to users with the appropriate permission. This helps protect sensitive information without hiding the form itself.

By default, all users with access to the Forms module can see all responses. If needed, you can limit access to users with the permission “Hidden form responses.”
The form itself remains visible and can still be copied – but the responses are hidden.
How it works
- Open an existing form or create a new one.
- Go to Form settings.
- Scroll down and activate the option “Hide responses.”
Once enabled, only users with the right permission will be able to view the responses.
This option can also be activated later for existing forms.

For users without the proper permission, the form will not appear in the contact’s activity overview under Forms, while users with permission can still see it.
Information from contact fields and individual contact fields that is transferred to contact data can still be viewed by users with the corresponding higher permissions (depending on their contact module access level). However, it will not show which form the data came from.
Form responses that are not linked to individual contact fields will not be transferred to the contact data. These responses can only be viewed by users with the appropriate permission under Hidden form responses.
This creates a clear distinction between permissions for Contacts and for Forms:
They are independent of each other, meaning some information might be visible in both areas, while other data is restricted.

The same applies to filters based on individual contact fields used in the form:
Only users with the right permission can create filters for hidden form responses.
This ensures that unauthorised users cannot access sensitive data through filters.
Here’s what the form looks like for users without the correct permission:
