Handling Requests (3/3)

As soon as someone submits a request via one of your ChurchDesk request pages, it will appear under Requests in the Calendar module. This is where you can manage all booking requests – from the initial submission to the final decision.
In this article, we’ll show you how to check, accept or decline requests, and what the status "In progress" means.

Note: If you haven’t created a booking page yet, please first read the article: Create a booking page


Where can I find incoming bookings?

Go to Calendar > Enquiries.
You’ll find three tabs:

  • New – all incoming requests that haven’t been handled yet
  • In progress – accepted requests where a follow-up form still needs to be completed
  • Completed – all requests that have been processed (accepted or declined)


Review new bookings

In the New tab, you’ll see a list of all unprocessed requests. Each request includes:

  • Booking date
  • Status
  • Related booking page
  • Selected options (if any)
  • Assigned user(s) (only for people bookings)
  • Date of submission
  • A blue Review button
    Click Review to open a sidebar with full request details. You can now accept or decline the request.


Tip: Since there’s no direct link to the calendar yet, we recommend opening the calendar in a second browser tab to check availability before making a decision.



Accept a request

Clicking Accept will:

  • Create an event in the calendar
  • Move the request to the Completed tab
  • If a follow-up form is activated, the request will first move to In progress, until the form is filled out


Decline a request

Clicking Decline will:

  • Archive the request
  • Send an automatic rejection email to the requester
  • Move the request to the Completed tab


Once accepted or declined, the status can’t be changed later.


  • If you still want to contact the person (e.g. if a spot becomes available later), you’ll need to do this manually via email or phone. You could offer a checkbox in your form to allow this. There’s currently no automated notification feature – this would just be a workaround.


What does "In progress" mean?

Requests appear under In progress if:

  • They were accepted,
  • A follow-up form is activated,
  • But the follow-up form hasn’t been filled out yet.
    You can:
  • Manually move the request to Completed – this will create the calendar event immediately
  • Leave it in In progress – the calendar entry is only created once the form is submitted
    Once the follow-up form is filled out, the request reappears in In progress, so you can check the answers before finalizing it.


Sort and filter your bookings

In all three tabs you can sort and filter:
Sort by:

  • Requested date
  • Status
  • Date of submission
    (Just click the small arrows next to the column headers)
    Filter by:
  • Booking page
  • Booking option
  • User
    (Use the filter dropdown in the top-right corner of each tab)
    This is especially useful if you’re working with multiple request pages or lots of entries.
