9. How to import contacts

Sometimes it can make sense to import several contacts into the people module of ChurchDesk at once. You can choose between two options: A full import from a .csv-file or a simple import via our copy/paste-function. The latter only imports first name, last name and the email-address of the contact. In this tutorial we'll explain both methods. 

 

Log in to your ChurchDesk

 

 

1. Go to the People module


Ensure that you are on People.

 

2. Go to the Import


Hover the curser above the Add people button, then click on Import people. 

 

3. How to import people from a .csv file


Click on the field From a .csv file

 

To make sure that the format of the imported data in the people module is correct, we recommend that you use our Excel template. The template will help you to easily import all data without any mistakes.

 

After downloading our Excel-template, you'll have to fill in the details of the people that you want to import. Remember to save the document when you are done. It is important that you save the file as a .csv-file. 

The system will only accept the file if there is at least one email address, phone number or both for each person listed. These will be used as a unique identifier for each person. 

 

After this, please return to the import-page of your ChurchDesk platform and click on Browse. Then, pick your Excel-file and start importing the data.

 

Make sure to activate the checkbox Overwrite duplicate contacts, if you wish to replace already existing people with the same email-address or phone number with the new data. 

Click on Next as soon as the .csv-file has been imported.  

 

The result of the import will be displayed as a preview of your data. If you should spot a mistake, you can always move back a step in order to review your Excel-table. After this, you can repeat the import. 

Click on Import, as soon as you are ready.

 

As soon as the import has been finalized, you can view the data within the People module of ChurchDesk. You can now create segments based on the data that you've just imported, i.e. the date of registration, certain keywords or content based terms such as 'youth work' or 'church music' for certain mailing lists. 

 

4. Importing people by using the copy/paste-function


The copy/paste-function makes it possible to import first names, last names and email-addresses only in a quick and easy way. If you want to import additional data, we would ask you to use the full .csv-import which has been explained above.

Please go through the steps 1 and 2 above. Make sure that you are located on the import page.  

Click on Copy/paste from file.

 

Copy the email-address, the first name and the last name separated by columns from the excel-file into the clipboard. 

 

Paste the data into the copy/paste field at ChurchDesk. 

Make sure to activate the checkbox Overwrite duplicate contacts, if you wish to replace already existing people with the same email-address or phone number with the new data. 

Click on Next as soon as you are ready to continue. 

 

 

The result of the import will be displayed as a preview of your data. If you should spot a mistake, you can always move back a step in order to review your Excel-table. After this, you can repeat the import. 

Click on Import, as soon as you are ready.

 

When the import has been finalized, the data will be available in the People module.
